Position Overview
The Quality Analyst – Non Voice is responsible for monitoring, auditing, and evaluating the quality of back-office healthcare operations related to Medical Records Requests, Paperwork Requests (FMLA & New Patient Paperwork), Incoming & Outgoing Faxes, and Patient Triage. The analyst will review Electronic Medical Records (EMR), verify process compliance, ensure adherence to turnaround times, identify quality gaps, and recommend process improvements to maintain operational excellence and regulatory compliance.
Key Responsibilities
Process Understanding
- Develop a comprehensive understanding of workflows related to:
- Medical Records Requests
- FMLA Paperwork Requests
- New Patient Paperwork
- Incoming & Outgoing Faxes
- Patient Triage
- Ensure all processes are performed in accordance with company policies, SOPs, HIPAA guidelines, and regulatory requirements.
Quality Audits
- Perform detailed quality audits within the Electronic Medical Record (EMR) system.
- Verify the accuracy, completeness, and timeliness of documentation for all assigned workflows.
- Ensure requests are processed according to established quality standards and turnaround times.
Medical Records Request Audits
Audit each request to verify:
- Request is properly documented in the EMR.
- Appropriate authorization is available, where applicable.
- Records are released only to authorized recipients.
- EMR is updated with all required documentation.
- Request is completed within the required turnaround time.
- All regulatory and organizational compliance requirements are met.
Paperwork Request Audits (FMLA & New Patient Paperwork)
Review requests to ensure:
- Documentation is complete and accurate.
- Required forms are processed correctly.
- Requests are completed within defined timelines.
- EMR records are updated appropriately.
- Any missing information or delays are identified and escalated.
Fax Quality Audits
Evaluate Incoming and Outgoing Fax processes by ensuring:
- Documents are routed to the appropriate department or provider.
- Fax documentation is accurately recorded in the EMR.
- Processing complies with organizational procedures.
- Turnaround time expectations are consistently met.
Patient Triage Audits
Review triage documentation to ensure:
- Patient concerns are accurately documented.
- Appropriate routing and escalation protocols are followed.
- Triage requests are addressed within established service levels.
- Documentation complies with company and regulatory standards.
Reporting & Continuous Improvement
- Prepare detailed audit reports highlighting quality trends, recurring issues, and improvement opportunities.
- Provide constructive feedback to operations teams to improve process quality.
- Track recurring errors and recommend preventive and corrective actions.
- Participate in calibration sessions to maintain audit consistency.
- Assist in developing audit checklists, SOPs, quality scorecards, and process documentation.
- Collaborate with Operations, Training, and Management teams to improve process efficiency and customer experience.
- Stay updated on healthcare regulations, HIPAA requirements, and quality assurance best practices.
Qualifications
- Bachelor's degree in any discipline (Healthcare Administration, Life Sciences, Business Administration, or related field preferred).
- Minimum 2–4 years of experience in Healthcare Quality Assurance, Medical Records, EMR Auditing, or Healthcare Back-office Operations.
- Experience auditing Medical Records, FMLA documentation, Patient Triage, or healthcare documentation is highly preferred.
- Strong knowledge of Electronic Medical Records (EMR/EHR) systems.
- Understanding of HIPAA guidelines and healthcare documentation standards.
- Excellent analytical, organizational, and problem-solving skills.
- High attention to detail with the ability to identify process deviations.
- Strong written communication and reporting skills.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
Preferred Skills
- Experience working with US Healthcare processes.
- Knowledge of quality methodologies and audit techniques.
- Ability to analyze trends and recommend process improvements.
- Strong time management and multitasking abilities.
